We are planning our AGM for September 21st 2017 and do not yet have a nominee for the position of Secretary for our Committee.

DUTIES OF THE SECRETARY
The role of the secretary is to support the chair by ensuring the smooth functioning of the board. Tasks will include the following (either by carrying them out directly or delegating and ensuring that they have been carried out):
• Preparing agendas in consultation with the chair and emailing meeting details and the agenda to all trustees one week before each meeting

• Receiving agenda items from other trustees

• Receiving and recording apologies from trustees

• Making the arrangements for meetings (booking the room and providing refreshments). Bring copies of the minutes of the last meeting and agendas.

• Checking that a quorum is present at all meetings

• Minuting the meetings and circulating the minutes to all trustees within two weeks of the meeting date

• Ensuring that the approved minutes are signed by the chair and retained

• Ensuring that all trustees attend meetings as directed in the governing document and issuing reminders for any lapses in attendance

• Issuing invitations to the AGM and monitoring responses

• Ensuring completion of nomination forms for election of Trustees and Officers

• Circulating agendas and minutes of the Annual General Meeting and any special or extraordinary general meetings to the trustees

• Maintaining a register of trustees and a current contact list for all trustees
